Scheduling
Turning Timetable Chaos Into a Conflict-Free Scheduling Platform
How genXarc built genXtimeTable to manage complex academic schedules, substitutions, and real-time updates for schools and colleges.
The problem
Creating an academic timetable looks simple until the number of constraints starts growing. A single institution may have multiple departments, hundreds of teachers, multiple rooms, different sections, academic terms, holidays, teacher availability, substitutions, and department-specific schedules. A timetable that looks correct on paper can fail when two classes require the same room, a teacher becomes unavailable, or a schedule changes after it has already been published — and traditional printed schedules and spreadsheets make these changes difficult to coordinate.
The solution
genXarc built genXtimeTable, a timetable and substitution platform designed for schools and colleges, around one core idea: build the timetable once, detect conflicts before publishing, and keep everyone synchronised when things change. The system checks for scheduling conflicts involving teachers, rooms, sections, and departments before a timetable is published, turning timetable management from reactive problem-solving into proactive validation. It also separates the permanent timetable from temporary substitutions: a teacher can declare unavailability, which creates a substitution request for HOD approval, and once approved the substitution applies only to the relevant date without overwriting the permanent schedule. The platform is built around the different responsibilities within an institution — dean, principal, HOD, teacher, and student each get role-specific access and dashboards rather than one shared interface.
What we built
- Conflict detection across teachers, rooms, sections, and departments before publishing
- A substitution workflow (teacher unavailability → HOD approval) that doesn't overwrite the permanent timetable
- Role-specific dashboards for dean, principal, HOD, teacher, and student
- Push notifications for schedule and substitution updates
- Excel-based bulk user provisioning for onboarding large numbers of teachers and students
- Centralised academic calendar management, including terms, holidays, and department-specific overrides
The result
genXtimeTable transforms timetable management from a collection of spreadsheets and printed schedules into a centralised, continuously updated system — one where conflicts are caught before publishing and changes reach teachers and students automatically, instead of after a printed schedule is already out of date.
